SPECIAL ASSISTANT TO THE ASSISTANT SUPERINTENDENT 

Position

The Special Assistant to the Assistant Superintendent plays a central role in supporting the management of Uncommon’s 49 schools by providing communications and operations support. In this role, the Special Assistant must be able to communicate effectively, maintain accurate records, and support with logistics and execution for meetings.  The Special Assistant reports directly to two Assistant Superintendents, and regular travel throughout the Assistant Superintendents’ region(s) is required.

Duties & Responsibilities
Uncommon’s Assistant Superintendents develop and manage principals and oversee instructional and academic programs. The Special Assistant to the Assistant Superintendent provides communications and operations support to 1-2 Assistant Superintendents including: 
  • Managing communications with key stakeholders by writing and editing email correspondence and other written materials on behalf of the Assistant Superintendent
  • Ensuring the Assistant Superintendent’s time is maximized by expertly managing the Assistant Superintendent’s calendar through prioritization of appointments, and arranging meetings and conference calls
  • Tracking, prioritizing, and holding accountable Assistant Superintendent and principals for tasks and project milestones to ensure progress to deadlines
  • Managing preparation of meeting agendas, materials, and logistics for key meetings – e.g. check-ins, professional development sessions, and regional principal meetings – involving the Chief Schools Officer, principals and senior leaders across Uncommon
  • Managing special projects or initiatives, as identified by the Assistant Superintendent, such as: 
  • Developing trackers to help manage daily tasks
  • Creating and distributing surveys
  • Managing requests for information
  • Perform general administrative duties including photocopying, mailing, and tracking and preparing expense reimbursements, as needed.
Qualifications
  • Strong skills in time management, including the ability to balance multiple priorities in a fast-paced work environment
  • Ability to independently manage administrative tasks and project-based work at varying levels of complexity
  • A self-starter, who has experience initiating and moving forward work, and feels comfortable identifying and raising/overcoming challenges along the way
  • Upbeat, positive, and operates with a service-oriented mindset
  • Excellent written and oral communication skills
  • Strong interpersonal skills and the ability to build relationships with multiple stakeholders
  • Ability to maintain a calm, professional demeanor in the face of competing demands
  • Ability to work independently and take initiative when appropriate
  • Strong work ethic and commitment to high standards of excellence coupled with an enthusiastic approach to one’s work
  • Proficient in Microsoft Office suite, especially Excel and PowerPoint, and able to learn new computer systems quickly
  • Willingness to travel to multiple schools within and across a region on a daily and weekly basis
  • Bachelor’s degree required
