Special Assistant to the Chief Schools Officer, 9-12 & K-12 Content Development

POSITION
The Special Assistant supports the Chief Schools Officer in areas such as calendar management and scheduling, correspondence, travel logistics preparing for and reporting on meetings, completion of special projects and reports, and other special events and duties as needed. The Special Assistant reports directly to the Chief of Staff and works closely with school Principals, Directors of Operations, and Uncommon Home Office Directors. Based in Newark; travel between regions may be required.

RESPONSIBILITIES
  • Ensure the CSO’s time is maximized and aligned with the organization’s priorities by expertly managing the CSO’s calendar, prioritizing appointments, and arranging meetings and conference calls.
  • Hold CSO and others accountable for addressing priorities and next steps and ensuring progress to deadlines.
  • Collect school performance data and create data presentations.
  • Make travel arrangements and provide materials for off-site meetings.
  • Keep projects on schedule.
  • Manage logistics, assemble packets, and record minutes for Executive Team and Board meetings.
  • Perform special school-, network-, and Uncommon-wide projects.
  • Coordinate logistics and information flow among network schools.
  • Write and edit emails, promotional materials (e.g., brochures, newsletters), website content, etc. .
  • Perform general clerical duties, including, but not limited to, photocopying, faxing, mailing, filing, and managing expense reimbursements.
  • Perform various administrative and other related duties as required and assigned.
  • Manage logistics, assemble packets, and record minutes for Executive Team and Board meetings.
  • Attend meetings to record follow-up assignments and next steps for CEO and others.

QUALIFICATIONS
  • A Bachelor’s degree.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Strong team orientation and ability to work and communicate well with team members
  • Reflective and open to feedback with a hunger to always improve and innovate
  • A positive and upbeat attitude
  • Ability to thrive in a fast-paced environment
  • High level of flexibility and ability to monitor and adjust
  • Ability to create and maintain systems that enhance organizational efficiency.
  • Very strong interpersonal skills and the ability to build relationships with multiple stakeholders
  • Excellent written and verbal communication skills
  • Highly resourceful and problem-solving team-player, with the ability to be extremely effective independently, as well
  • Proven ability to handle confidential information with discretion, to be adaptable to various competing demands, and to demonstrate the highest level of service and responsibility.
